Map users and groups

User and group mapping allows you to replace users at the destination site.

You may want to replace users or groups if they are invalid (i.e. orphaned users or groups or unresolved users or groups). A user or group can be invalid if they do not exist in the destination's Azure Directory.

Note: With Copy teams, you cannot map your groups. You can only map your users.

How-to

1. Select Copy from the menu.
2. Select the type of migration you want to perform.
3. Connect to a source and a destination.
4. Click Mappings on the top-right.
5. Select the Users and groups tab.
6. Use the search fields in the source and destination to find the user(s) or groups(s) you want to map.
7. Drag and drop them in the appropriate spot.
8. Click Save.

Default behavior

Users and groups at the source site are automatically mapped to existing users and groups at the destination site. You can find more about automatic mapping in the article, Users and groups association (automatic mapping).

Unresolved users or groups

ShareGate Migrate gives you the option to resolve orphaned users and groups by mapping to Unresolved users and groups. Follow the steps in the How-to above to map unresolved users or groups to a specific user or group at the destination. 

If you are migrating to Microsoft 365 using Insane mode, you don't need to map unresolved users and groups because the destination preserves (i.e. keeps) the orphaned user or group information. If you want to map unresolved users or groups to a specific user or group, the migration has to be run using Normal mode.

When unresolved users and groups are not mapped:

• The Modified by and Created by user fields will be filled with the migration account. You will get a warning in your Migration report.
• Any item that has a custom Person or Group field will fail to migrate. You will get an error in your Migration report.

Note: ShareGate has the ability to switch between Insane mode and Normal mode depending on your content requirements. If a list or library is found containing contents unsupported by Insane mode, ShareGate will use Normal mode to migrate that entire list or library. Depending on the mode you may find metadata using the migration account information or metadata using the orphaned users or groups information.

Import and export

From the Mappings screen, you can import or export Your user and group mappings (the file type is SGUM, i.e., a ShareGate User Mappings file type). This will allow you to save your mappings for future use.

Considerations

• To create user mappings for several users, see Create a user mapping from a CSV file.

• Users and groups that are set to inactive in Active Directory cannot be resolved in SharePoint and will be considered unresolved during the migration.

• The users and groups you do not specify in your mappings are mapped automatically by ShareGate Migrate.

• When migrating from SharePoint to Microsoft 365, if you notice some users do not resolve when mapped, it is possible that they did not change their password at first login - causing them to not be provisioned properly.
